However, these tools may require a certain number of hours of training and even specific knowledge, especially in statistics&#8230; what I call \u2018mastering force\u2019.<\/h2>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-large is-resized\"><img decoding=\"async\" src=\"https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/offensive.jpg\" alt=\"The force\" class=\"wp-image-27437\" width=\"496\" height=\"372\"\/><figcaption class=\"wp-element-caption\">Source :&nbsp;<a href=\"https:\/\/absurdlynerdly.wordpress.com\/2011\/10\/19\/use-the-force-harry\/\">https:\/\/absurdlynerdly.wordpress.com\/2011\/10\/19\/use-the-force-harry\/<\/a><\/figcaption><\/figure>\n<\/div>\n\n\n<p>You may not know it yet, but in database analysis, you all have very powerful analysis tools at your fingertips; most likely, more powerful than you can imagine! &nbsp;And that is why I wanted to publish a <a href=\"https:\/\/exob2b.com\/en\/how-to-easily-analyze-a-database-using-excel\/\">new version of the original post <\/a>with more goodies in it for you.<\/p>\n\n\n\n<p>So, here are a more tips to help you effectively analyze a database (e.g. sales analysis) with Excel.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How to properly organize your database<\/h3>\n\n\n\n<p>To make your life easier, consolidate information into one Excel sheet.<\/p>\n\n\n\n<p>Also, clearly identify each of your columns to find your way easily.<\/p>\n\n\n\n<p>To be able to use Excel effectively in data analytics, use this method:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>1 record per line<\/li>\n\n\n\n<li>1 information per column<\/li>\n<\/ul>\n\n\n\n<p>For example: you want to analyze the current year&#8217;s invoices.<\/p>\n\n\n\n<p>Here&#8217;s an example of what <em>not<\/em> to do:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-background\" style=\"background-color:#e7f5fe\"><tbody><tr><td><strong>ID facture<\/strong><\/td><td><strong>&nbsp;Date<\/strong><\/td><td><strong>&nbsp;Produit &nbsp;vendu<\/strong><\/td><td><strong>&nbsp;Total<\/strong><\/td><td><strong>client<\/strong><\/td><\/tr><tr><td>20001<\/td><td>16 janvier 2020<\/td><td>4 XYZ<\/td><td>400$<\/td><td>Cie ABC inc.<\/td><\/tr><tr><td><\/td><td><\/td><td>3 DEF<\/td><td>900$<\/td><td><\/td><\/tr><tr><td>20003<\/td><td>23 mars 2020<\/td><td>6 ABX<\/td><td>1200$<\/td><td>Cie ZZZ inc.<\/td><\/tr><tr><td><\/td><td><\/td><td>1 STU<\/td><td>200$<\/td><td><\/td><\/tr><tr><td>\u2026<\/td><td>\u2026<\/td><td>\u2026<\/td><td>\u2026<\/td><td>\u2026<\/td><\/tr><\/tbody><\/table><figcaption class=\"wp-element-caption\">Print screen in French<\/figcaption><\/figure>\n\n\n\n<p>When you try to create a pivot table, you will not be able to time these results or know the quantity by product. Here are some examples of how to:<\/p>\n\n\n\n<p><strong>1- Separate the quantity in the Product field<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Create a new column<\/li>\n\n\n\n<li>In this new column, enter the formula: (= left (A2; 2))<\/li>\n\n\n\n<li>What it does: we tell Excel to search cell A2 for the first 2 characters. You can easily replicate the formula to your whole database by selecting the cell with the lower right corner and dragging down.<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-large is-resized\"><img decoding=\"async\" src=\"https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/image.png\" alt=\"base\" class=\"wp-image-27417\" width=\"457\" height=\"254\" srcset=\"https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/image.png 457w, https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/image-300x167.png 300w\" sizes=\"(max-width: 457px) 100vw, 457px\" \/><figcaption class=\"wp-element-caption\">Print screen in French<\/figcaption><\/figure>\n\n\n\n<p><strong>2- Try to seperate the Date field:<\/strong><\/p>\n\n\n\n<p>Sometimes it happens that instead of January 16, 2020, you have a series of numbers like this: 42385. Let me show you something awesome:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>In a cell, enter the formula = year (A2). Here, you have the corresponding date! Try with the formula = month (A2) or = day (A2) it works too!<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Also separate from information:<\/h3>\n\n\n\n<p>Another function can help you. Suppose you want to separate in 2 columns of information which is structured in the same way: ex: 4 xyz, 3 abc.<\/p>\n\n\n\n<p>It is constant: the quantity is always separated by a space.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Select your data that you want to put on 2 columns.<\/li>\n\n\n\n<li>Go to Data: convert.<\/li>\n\n\n\n<li>Choose the option delimited, next, then check space.<\/li>\n<\/ul>\n\n\n\n<p>There you have it, your data is automatically separated into 2 columns!<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" width=\"554\" height=\"352\" src=\"https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/image-1.png\" alt=\"\" class=\"wp-image-27419\" srcset=\"https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/image-1.png 554w, https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/image-1-300x191.png 300w\" sizes=\"(max-width: 554px) 100vw, 554px\" \/><figcaption class=\"wp-element-caption\">Print screen in French<\/figcaption><\/figure>\n\n\n\n<p><strong>Find, replace:<\/strong><\/p>\n\n\n\n<p>This function is magic! Suppose you want to replace periods throughout your column, with commas, its simple:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Select your data, go to the home tab then search for replace.<\/li>\n\n\n\n<li>Enter the value you want to search for (in this case, the \u201c.\u201d)<\/li>\n\n\n\n<li>Then enter the value you want to replace with (in this case, the \u201c,\u201d).<\/li>\n<\/ul>\n\n\n\n<p>That\u2019s it!<\/p>\n\n\n\n<p>Once completed, if you want to convert your formulas into value, select your cells, have them copied, and then right click. Choose &#8220;Special Collage&#8221; and then choose &#8220;value&#8221; from the menu.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Use the power of pivot tables<\/h3>\n\n\n\n<p>When your database is ready, select all the data then go to the tab \u201cInsert Pivot table\u201d.<\/p>\n\n\n\n<p>Click &#8220;Ok&#8221; then you will see an Excel sheet added.<\/p>\n\n\n\n<p>In the right window, you can display the values you want in a row or column, so you can easily view online and column.<\/p>\n\n\n\n<p>For example, sales by segments\/products. You can see your product markets.<\/p>\n\n\n\n<p>With these tables, you can even transpose everything into a graph. Not bad for your next presentations?<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How about Google Sheet?<\/h3>\n\n\n\n<p>Want to share the info in real time with your colleagues Padawan or Sith? <a href=\"https:\/\/docs.google.com\/spreadsheets\/u\/0\/\">Google Sheet<\/a>, for example, allows you to import data into a sheet and make collaboration easier.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">And why not, a dashboard?<\/h3>\n\n\n\n<p>Need to visually submit a report? Try <a href=\"https:\/\/datastudio.google.com\/navigation\/reporting\">Google Data Studio<\/a>. A free tool which allows you to create a dashboard with multiple sources of real-time data (e.g. Google Analytics, Google Spreadsheet, some social media, etc.).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Pro tip: use the \u2018how to\u2019 option&#8230;<\/h3>\n\n\n\n<p>To look like a pro, when you are looking for a solution with a formula in Excel, Google sheet or even in Google Data Studio&#8230; Look in Google!&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-large is-resized\"><img decoding=\"async\" src=\"https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/Capture-decran-2020-12-09-110755-1.png\" alt=\"\" class=\"wp-image-27471\" width=\"476\" height=\"187\" srcset=\"https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/Capture-decran-2020-12-09-110755-1.png 571w, https:\/\/exob2b.com\/wp-content\/uploads\/2020\/12\/Capture-decran-2020-12-09-110755-1-300x118.png 300w\" sizes=\"(max-width: 476px) 100vw, 476px\" \/><\/figure>\n\n\n\n<p>The &#8220;Excellators&#8221; community is quite creative.
